Customer Fulton County Sheriff's Department, Jail Division (Atlanta, GA)

Project Description:

There are between 500-600 employees who are voluteers or work for a Vendor at the Fulton County Jail. Jail Security Personnel needed a way to easily input employee information into a database and print out ID Badges for them to wear while in the jail. The ID badges needed to be secure and contain a picture of the employee and all pertinent information prominently displayed on the front of the badge. The area they work for, printed in a distinguishable color, also needs to be printed on the front of the badge.

The program will be administered by Jail Security Staff. They will initially issue badges to all employees. Badges will be renewed every year. When it is time for an employee to renew an identification badge, or when an employee requests a replacement for a lost or stolen badge, a member of Jail Security should be able to pull up that employees information from the database and print a new badge.

Issues with the previous system:

Previously, Jail Security personnel made ID badges using colored card stock paper. Information was typed on the front of the paper using a typewriter and cut out into a square. A picture from a copy of the employees drivers license was cut out and pasted on the square. This was then laminated and given to the employee. Their paperwork was then filed away in a filing cabinet.

There are several issues with the previous system. First, ID Badges were not secure. They could be easily forged using supplies purchased at an Office Store. Second, making renewal badges or replacements was a tedious process because the badges were made by hand. The process could take 20-30 minutes just to make a single ID Badge. Finally, searching for pertinent information involved looking through hundreds of files in the filing cabinet.

My Roles: As the only developer for this application, I played all roles involved with the development, including database developer, application developer, Project Manager, Testing and Quality Assurance, Training, Troubleshooter, et al.

What I did:

Using SQL Server, I created a database that would house pertinent information, including employee data, Vendor company data, as well as information such as door codes, elevator codes, car tag number, etc.

An Ultra Magicard printer was purchased that would print out ID Cards on a 2.5 X 3 inch white card. This printer printed in color and printed a laminate seal with a hologram inprinted for security.

I then created an application using Visual Basic that would allow Security Personnel to input, change and view employee information. Using the application, they could print out the ID Cards, Print information sheets (on 8.5X11 paper), and run reports on the information in the database.

Using this program, they were able to initially input information and print badges in 5-10 minutes. Renewals and replacements took less than 1 minute to print. In addition, information was stored in the database, which made finding statistical data much easier.
